You have registered for CAST, completed your work history and started practising reasoning questions. Weeks pass without an invitation. Have you missed a deadline? Should you register again? Does passing the tests mean a job will follow?
CAST makes more sense once you understand who takes the next decision. Registration puts your application in a candidate database. A recruiting service must shortlist you before EPSO invites you to testing. Passing the reasoning tests then opens the way to a separate recruitment assessment; an employment offer depends on that process. EPSO’s selection explanation
This guide takes you through the decisions you can control: choosing a suitable profile, keeping your application visible, preparing the right tests and responding to an actual vacancy. It also shows where existing EPSOHQ resources fit.
What “CAST Permanent” actually means
CAST stands for Contract Agents Selection Tool. “Permanent” describes an application procedure that stays open, with no general registration deadline. It does not promise permanent employment. Institutions also advertise individual contract vacancies with their own deadlines and application instructions. Registration in CAST and applying for a specific advertised job are therefore separate actions. EU Careers: contract staff
The eventual contract matters. Article 3a contracts can lead to indefinite employment; Article 3b contracts are fixed term, with a maximum duration of six years within an institution. Check which arrangement the recruiting service offers. Conditions of Employment, Articles 85 and 88
Treat your preparation as two parallel tasks: make your relevant experience easy to assess, and become ready for reasoning tests before an invitation arrives.
Choose a function group and a professional profile
A function group describes the level and nature of duties. A profile describes the professional field. Finance, for example, is available in several function groups. Choose both deliberately.
| Function group | Typical work | Standard minimum education route |
|---|---|---|
| FG I | Manual and basic administrative support | Completed compulsory education |
| FG II | Clerical and secretarial work | Post-secondary qualification, or secondary education giving access to post-secondary studies plus three years of relevant experience |
| FG III | Executive and technical work | Same standard education routes as FG II |
| FG IV | Administrative, advisory, linguistic and equivalent technical work | Completed university studies of at least three years |
EU Careers: function groups and baseline requirements
The rules also allow specified equivalent-training or experience routes where justified by the service. These are not automatic exemptions. EU citizenship and the other general conditions apply to this CAST procedure, and a vacancy can impose additional criteria. Conditions of Employment, Article 82
The current registration directory includes:
| Available group(s) | Profiles |
|---|---|
| I | Manual and administrative support |
| II | Child care; secretaries/clerks; security operations |
| II, III, IV | Administration/HR; building management; finance; technical security |
| III | Proofreaders |
| III, IV | Archivistics/records management; communication; ICT; information/document security; IT security; law; political affairs/EU policies; project/programme management; security operations including regional security |
| IV | Educational psychologists; translators |
Use the links in the official profile directory to register for the exact combination you need. Read its duties before choosing: a familiar job title can conceal a different level of responsibility.
How to narrow down your choices
Start with a vacancy you would realistically apply for. Underline its duties and compare them with the relevant CAST profile. Then check the function group and the evidence required. Do not pick FG IV simply because it is the highest group, or assume that the same education threshold makes FG II and FG III interchangeable jobs.
For a fictional applicant who checks invoices, maintains expenditure records and prepares budget summaries, the finance profiles provide a useful starting point. The next question is the level of work: routine processing, executive support or advisory responsibility. A degree alone does not explain that distinction; the vacancy and the applicant’s actual duties do.
Make a three-column shortlist: profile/group → relevant experience → evidence still needed. Keep a combination only when you can explain the match. You can then invest preparation time in applications supported by your background.
Check your language choices before submitting
For CAST, Language 1 must be an official EU language at C1 or above. Language 2 must be English, French or German at B2 or above, and different from Language 1. The reasoning tests use the Language 1 selected in that particular application. Language 2 may be assessed during recruitment. The broader wording on the registration overview should be read alongside these more specific rules. EPSO’s current language FAQ
For example, a candidate choosing Italian as Language 1 and English as Language 2 should practise reasoning in Italian and prepare to discuss their work in English. This is an illustration, not a recommendation to choose those languages.
CAST language choices cannot currently be changed by the candidate directly: requests go through EPSO’s contact form. Check them carefully before validation. Changing test languages
Register, validate and keep the application visible
Start from the official contract-staff page, choose the profile and function group, and follow the link to your EPSO account. Complete and submit the application. Current guidance distinguishes this CAST account route from the Single Candidate Portal used for open competitions. EPSO application guidance
You can apply for several eligible combinations, but submit only one application for a given profile/function group. Update the existing application when your experience changes. Duplicate applications for the same combination and unsupported declarations can lead to temporary exclusion. 2026 addendum
Renew your interest at least every six months. A validated application must remain visible for recruiters to find it. Put a reminder in your calendar before its displayed validity date, then check that renewal has taken effect. EPSO’s selection steps
Keep a small application record:
| Record | What to save |
|---|---|
| Application | Profile, function group and reference number |
| Languages | The choices made in this application |
| Validity | Last renewal and next displayed validity date |
| Evidence | Where qualifications and employment records are stored |
| Vacancy | Employer, reference, deadline and requested documents |
| Testing | Invitation, preparation requirements and result |
Check your EPSO account at least every three calendar days. Calendar reminders support that habit; they do not replace reading the account. EPSO account guidance
Build a document file before you are shortlisted
Gather readable copies of your qualification certificates and employment evidence. For each qualification, record the awarding institution, completion date and course duration. For each role, reconcile the dates and duties in your application with the records you can provide. Where documents use different names or job titles, prepare an explanation of the connection.
This is a preparation checklist, not a universal upload instruction. Follow the recruiter’s request about acceptable documents, translations, originals and submission dates. Save a copy of the vacancy and the version of your application used for it so that you can prepare for the interview from the same information the recruiter receives.
Make your experience understandable to a recruiter
The useful question is: could someone unfamiliar with my employer tell what I actually did? A title such as “project assistant” says little about budgets, documents, stakeholders or personal responsibility.
Consider this fictional example:
Vague: Supported projects and coordinated stakeholders.
Specific: Maintained the delivery tracker for four training projects, checked partner reports against agreed milestones, recorded missing evidence and prepared a weekly exceptions note for the project manager.
The second version gives a reviewer concrete work to assess. It also avoids claiming that the applicant managed decisions made by someone else. Use quantities only when they are accurate and supportable.
Before submitting, review each relevant role against four prompts:
- What output did I personally produce?
- Which tools, procedures or subject knowledge did I use?
- What responsibility did I hold, and what required approval?
- Which document or record supports the dates and duties?
Use the vocabulary of the profile where it truthfully describes your work. Repeating keywords without evidence does not make an application stronger. Keep confidential employer information out of illustrative examples and unnecessary attachments.
When are the next CAST tests?
As checked on 10 September 2026, EPSO lists 6 October 2026 and 19 November 2026 as the next sessions. These are testing dates, not general application deadlines. Check the official testing announcement for changes.
The planning page currently indicates results in early November for the October session and late December for the November session. Those result periods are indicative. CAST testing calendar
Registering now does not reserve a place in either session. A testing invitation follows shortlisting. Keep your application current and maintain regular practice while you search for suitable roles.
Prepare the three reasoning tests—and understand the pass rule
The current call specifies this format:
| Test | Questions | Time | Required result |
|---|---|---|---|
| Verbal reasoning | 20 | 35 minutes | At least 10/20 |
| Numerical reasoning | 10 | 20 minutes | Numerical plus abstract: at least 10/20 combined |
| Abstract reasoning | 10 | 10 minutes | Included in that combined result |
The working time totals 65 minutes; allow separately for the appointment requirements in your invitation. Do not judge readiness from the overall total alone. These fictional results show why:
| Verbal | Numerical | Abstract | Outcome under the stated thresholds |
|---|---|---|---|
| 12/20 | 4/10 | 6/10 | Both thresholds reached |
| 9/20 | 9/10 | 9/10 | Verbal threshold missed |
| 15/20 | 4/10 | 5/10 | Combined threshold missed |
The second candidate should investigate verbal errors before adding more abstract practice. The third needs to improve the numerical/abstract combination. Neither benefits from hiding the weak result inside a reassuring total.
A higher reasoning score does not make your application rank higher with recruiters: they see whether you passed, not your individual marks. Aim for consistent performance to reduce the risk of failing. EPSO’s score FAQ
Use EPSOHQ practice for a specific purpose
For verbal reasoning, use the in-depth guide and verbal practice. After an error, identify the exact sentence that supports the right answer and the extra assumption behind your choice. General knowledge should not fill a gap in the passage.
For numerical reasoning, use the numerical guide and numerical practice. Record whether the mistake came from selecting data, choosing a denominator, converting units or calculating. If the same operation keeps causing trouble, revisit the mathematical concepts before another timed block.
For abstract reasoning, use the abstract concepts library and abstract practice. Write the proposed rule in words: position, number, rotation, shading or interaction. Check that it explains every relevant frame.
These links request separate practice blocks with the corresponding counts and realistic timers. Select the Language 1 from your CAST application before starting; the links do not select it for you. Check question availability and account access too. These are preparation exercises, not official EPSO tests or a calibrated prediction of success.
A practical two-week preparation cycle
This is an EPSOHQ study suggestion, not an official timetable. It suits someone who needs a repeatable routine before an invitation.
| Session | Work | Useful output |
|---|---|---|
| Week 1, session 1 | Attempt one timed block of each reasoning type | Separate scores, unanswered items and time-pressure notes |
| Week 1, session 2 | Review verbal errors and redo the reasoning slowly | Evidence for the correct answer and why the alternative fails |
| Week 1, session 3 | Work on the most frequent numerical or abstract error | A short method note with a fresh example |
| Week 1, session 4 | Review your CAST application and one suitable vacancy | Clearer experience entries and a document checklist |
| Week 2, session 1 | Practise the weakest skill without a timer | A method you can explain without guessing |
| Week 2, session 2 | Apply that method to new timed questions | Evidence that the improvement transfers |
| Week 2, session 3 | Repeat all three blocks with fresh questions | Separate threshold checks and comparison with week 1 |
| Week 2, session 4 | Review errors and choose the next cycle’s priority | Three specific actions for the following week |
Keep the error log short: question type → mistake → correction → next drill. For example: “percentage change → divided by the final value → identify the original baseline before calculating → five fresh baseline questions.”
A familiar question can measure memory more than skill. Use fresh material for reassessment and build consistency above the minimum rather than treating a single borderline result as readiness.
After an invitation: prepare the test setup too
Read the invitation before making arrangements. Complete its specified technical preparation, which may include software installation, synchronisation, connectivity checks and a mandatory mock. EPSO’s preparation and complaint guidance
Turn the instructions into a checklist with a deadline beside each action. Include the identity-document requirements, permitted equipment, room conditions and technical-support procedure. Use the instructions for your session rather than assuming a rule from a different EPSO competition applies.
Keep the relevant support contact details accessible before the test. If something fails, use the required reporting channel immediately and keep the permitted evidence of the incident: timestamps, error messages and support references. Read the separate deadline for notifying EPSO; contacting the provider should not be assumed to complete every reporting step. Do not copy or photograph test questions in order to document a problem.
The March 2026 revision clarifies that cheating, or breaching instructions that explicitly specify invalidation, can invalidate the testing session. False or unsupported declarations and duplicate applications for the same profile/group instead trigger temporary exclusion: applications become unavailable for a year. Revised 2026 addendum
If you need reasonable accommodation, request it through the application process with the required evidence. For an institution’s later recruitment assessment, contact that recruiter separately; EPSO does not pass your needs to it automatically. CAST accommodation guidance
Passing, failing and the next recruitment stage
A successful reasoning result remains valid for ten years from publication in your EPSO account, for the same and lower function groups. A pass for a lower group does not qualify you for a higher one. EPSO’s result-validity FAQ
If you fail, the current wait before another invitation for the same or a higher group is four months from the test date. Invitations for a lower group remain possible. The end of the waiting period does not create an automatic right to another attempt. EPSO’s retest rules
For recruitment, follow the vacancy and invitation. EPSO currently organises the reasoning tests; recruiting services organise the assessment of suitability for their posts. Do not assume that every CAST candidate must prepare an identical specialist MCQ paper or an EU free-text essay. EU Careers: current division of testing responsibilities
Prepare a small evidence bank from your own work: a difficult decision, a checked calculation, a problem you resolved, a written output and an example of collaboration. For each, explain the situation, your action, the result and what you learned. Then select the examples that answer the actual vacancy criteria.
Where a writing exercise is confirmed, the written test guide can help with source analysis and structure. Where a presentation is confirmed, use the oral case presentation guide for transferable delivery skills. Their exercise formats should not be treated as predictions of your recruiter’s assessment.
Use EPSOHQ across the application journey
The CAST training page brings together the procedure overview and core reasoning practice. The strongest immediate route is to pair each practice block with its methodology guide, then track the errors that need attention.
For job discovery, use EU Jobs to find relevant vacancies and Job Watch for alerts after signing in. Always read the original vacancy: the employer’s deadline and requested documents control the application. An alert does not submit an application or renew your CAST interest.
When comparing offers, look beyond the function-group label. Record the proposed grade and step, workplace, contract duration, renewal conditions and duties. Use the salary calculator to explore an estimate with your own assumptions; confirm the actual offer and allowances with the employer.
Your next-action checklist
- Not registered: choose a profile/group and check your eligibility and languages before submitting.
- Registered, awaiting an invitation: maintain your application, practise regularly and apply separately for suitable advertised vacancies.
- Invited to reasoning tests: confirm Language 1, rehearse all three blocks and complete every technical preparation step.
- Passed reasoning: save your result details and prepare evidence and examples for the recruiting service’s assessment.
- Unsuccessful in reasoning: use the waiting period to diagnose errors and improve consistency; keep vacancy searching and application maintenance separate from your retest expectations.
Which official information should you read?
Begin with the CAST registration page, then read the call and its amendments linked there. The reader-friendly consolidated version is a convenient reference; the original call and formal amendments are the authoritative texts. Use the invitation for session-specific instructions and the vacancy for employer-specific requirements.
Keep the date of this guide in mind when checking test sessions. An always-open registration process can still have changing testing arrangements and individual vacancy deadlines.
EPSOHQ’s linked reasoning resources support preparation now. They do not guarantee shortlisting, provide a complete bank for every institution’s recruitment assessment, or replace the official registration system. Your next practical step is to check your chosen profile and validity date, select one suitable vacancy, and complete a reasoning block with enough time afterwards to understand every error.
